HR-bot



Description
From experience we can conclude that the HR (Human Resources) processes in a company can take up a lot of time and documentation. A simple request for days off or annual leave can take up to one week (or even more) to be approved. A lot of factors participate in the extended response period, such as: absence of the HR worker at the workplace, not examined emails, absence of the team manager and the need of several conversations between the applicant – HR employee - team manager as well as many similar steps that take up a lot of time for the application to be approved.

HR-bot is a web application that will serve to facilitate the work of the human resources department in companies. The application is designed to reduce the waiting period and facilitate the process of approving applications.
The HR bot will have an overview of all the emails that have arrived in the e-mail inbox and will group them into categories. The application will withdraw all unread incoming emails and will write them in its own database where by processing the data received from each e-mail separately they will be grouped and displayed in the application.
The HR manager will then, forward the request mail to the appropriate team manager where the team manager will have the option of accepting the requests or not. If the manager accepts the request from the applicant a PDF document is generated which will be dynamically filled with the data of the applicant and the information provided by them in the e-mail, such as: applicant’s full name, the date of the requested leave, reason for the request, etc. Otherwise, if the team manager does not approve the request an email with a negative response is returned.
In terms of the basic concept of this system, starting with reading inboxes, processing e-mails, creating PDF documents, switching processes from person to person, working with keyword maps, this system can be extended to larger systems, which will facilitate the work of employees in a company. One of the ideas is: ranking job applicants, such system facilitates the process for technical managers to select future employees.

This application will not only facilitate the job of the HR workers in companies but it will also speed up the HR processes by eliminating all factors that participate in slowing down the work processes of a company, thus increasing the efficiency of the workplace, as well as eliminate the documentation waste.

*The application can only be used by HR workers and team managers in the company. All users (HR and team managers) are pre-entered in the database, which means that there is no possibility to register. With the forbidden access for user registration, we exclude the case for the user to register as a team manager and to approve his / her own requests, thus generating real legal documents for his / her request.
